The Real Cost of Cold Email in 2026 (It Is Not the Software)

Teams budgeting for cold email usually start by comparing software prices: $47 for Instantly, $39 for Smartlead, $25 for Saleshandy. Reasonable, and mostly beside the point. The platform is typically the second or third largest line item in a working cold email stack. Here is what the whole thing costs.
The four line items
Domains. You never send cold email from your main domain. A burned domain is a business problem; a burned lookalike domain costs $12. Plan on 3 to 10 secondary domains at $10-15 each per year.
Mailboxes. The working rule stays conservative: 20-50 cold sends per mailbox per day, so volume targets translate directly into mailbox count. Google Workspace runs about $7 per mailbox per month. Two things stand out. The platform is roughly a third of a solo budget and barely 10% of an agency budget. And data plus mailboxes always outweigh software, which means "which tool is $10 cheaper" is the wrong optimization once you pass a few thousand sends a month.
Where teams actually overspend
Not on software.
